How make Press-Ready PDFs with MS Word.

Those who have tried have discovered that clicking “save as” and selecting the PDF option does not necessarily produce a document that is faithful to what you saw on the screen in MS Word.  Here’s a short list of potential problems:

  • fuzzy pictures that look over compressed and pixellated.
  • unacceptable font substitutions.
  • mixed RGB and CMYK color modes. (Commercial printing requires CMYK)
  • Lines and marks that should have been hidden by opaque layers show because of transparency issues.
  • Text overflows in text boxes.

Your last step will be to submit the PDF for an automated pre-flight check at the website con4rm.com.

  1. MS Word 2013 has three ways of making PDF files from a document: Save as, Export, and Print to Microsoft PDF. None produce a press ready result, but Export and Print to Microsoft PDF will preserve more detail in the photos.

    After you open a document in Word, you can change the settings to embed your fonts in the saved file, provided they aren’t blocked for licensing reasons. (Files/Options/Save). However this defaults back to not embedding for the next document.
